Timely filing limits

  • Original claims: 6 months from date of service

EFT and ERA enrollment

Washington providers complete the Direct Deposit form (processed in 7-10 business days) for EFT and ERA from DDWA and out-of-state Delta Dentals; EFT enrollees are auto-enrolled in National EFT/ERA unless they opt out. Offices under one TIN must use the same payment method. ERA comes through one chosen clearinghouse (Emdeon, DentalXChange or TESIA).

New Premier and PPO applications are processed within 18-21 business days. Member dentists are recredentialed every 3 years, with an email notice before the due date. Applications are for Washington providers only; out-of-state dentists apply through their local Delta Dental.

Missing tooth clause

Provider FAQ states: "No, there is no missing tooth clause."

Waiting periods

Waiting periods are set by the group plan. Confirm the waiting period for basic and major services and the patient's effective date.

Downgrades (alternate benefit)

Ask whether posterior composites are paid at the amalgam rate and whether crowns downgrade to a base-metal benefit, so the patient estimate is right the first time.

Frequency limits

A Time Limitation Exception Form can change a time-limited claim from not billable to patient responsibility, not to a paid benefit.

Verification checklist for Delta Dental of Washington

  • Use the Provider Portal to check benefits and claim status; phone Provider Services closes 1-2pm PT on Thursdays and Fridays.

  • Confirm whether the patient has an employer plan, a DeltaDentalCoversMe plan or DeltaCare. Individual plan members use (888) 899-3734 and a separate sign-in.

  • For DeltaCare patients, confirm the assigned Primary Care Dentist and panel status with a Provider Ambassador before treating; DeltaCare pays monthly capitation.

  • DDWA states there is no missing-tooth clause, but check the specific plan booklet before assuming implant or bridge coverage.

  • Confirm which clearinghouse is registered to receive your ERA; DDWA delivers ERA through only one clearinghouse per provider.

  • Claims submitted more than 6 months after service may be processed as not billable to the patient, so file promptly.

  • Record the representative's name, the call reference number and the date for every phone verification.
